  • Invite your team and give each person a role that decides what they can view, edit or manage.

Darwin Ignite is the web-based IP management system of Darwin Suite, built for the people who run portfolios on behalf of others: IP agents, attorneys, law firms and IP agencies. It is where your practice keeps its trade marks, patents, designs and other rights, together with the entities behind them (clients, applicants, representatives and correspondents) and your litigation in Court Case. Around that record it covers the daily work of a practice: the Watch Section and the Publication List follow official bulletins for conflicts and for incidences affecting your cases, Viabilities handles registrability requests, the document workflow drawer registers incoming emails, PDFs and scanned letters with the help of AI, and OIL (Office Integration Layer) produces letters and emails straight from a case. Deadlines are worked out from each case's dates and pending acts and are coloured as they approach, reports can be requested in PDF or Excel, Scrum Boards organise team tasks, and the Dashboard shows how the practice is performing and how it compares with similar practices. Ignite runs in the browser, so there is nothing to install, and it shares one sign-on, one team and one account with the other Darwin Suite systems; it is also the source that feeds your clients' Darwin Lightbox accounts. Which menu entries you see depends on your role and on your plan.

On the sign-in page choose Sign up, which opens Create your free account. Enter your Email address, then a Password and the same password again in Password (Confirm). The password must have at least 8 characters and include at least one letter, one number and one special character; the form tells you straight away if it is not strong enough or if the two do not match. Use an address you can receive mail at, because the next step depends on it: Ignite shows Confirmation required and sends you an email with instructions, and you must follow the link in it to confirm your address and activate your account. If nothing arrives within a few minutes, look in your spam or junk folder and check that the address was typed correctly. If the screen says that an account with this email may already exist, you probably already have a Darwin Suite sign-in, for example from Darwin Lightbox, Darwin GSE or Darwin Axiom: because the suite uses a single sign-on, you simply sign in with that same email and password instead of registering again. Once your address is confirmed you complete a short setup page with your own details and those of your account, and the account starts on the Free plan, which you can upgrade later from Subscriptions.

After you confirm your email address, Ignite opens a short setup page in steps, with Next and Back to move between them. In the Personal step you give your First Name and Last Name, your Language and your Country. The language matters more than it looks: it sets the language of the whole interface (English, Portuguese, Spanish, French, German or Italian) and the language in which AI summaries of incoming documents are written for you, whatever language the document itself is in. In the Company step you describe the account your work will belong to: its name, Type, Dimension, Activity, Country and Tax ID. The name identifies the account to your colleagues; the type, dimension and activity describe the organisation, and the country records where it is established. If the account name you type already exists, Ignite tells you so and sends your registration request to that account's administrators for approval, so you join the existing account rather than creating a duplicate. In the Legal step you read the terms through View Terms and Conditions (PDF) and tick I accept the terms and conditions, without which you cannot finish. When you choose Finish, Ignite confirms Profile Completed and takes you to the sign-in page. Everything you entered can be changed later in Profile, under Personal Account and, for administrators, Company Account.

The simplest way is to ask one of your company's administrators to invite you. An Admin opens Profile > Team, enters your email address, chooses your role and sends the invitation, and you receive an email with a link. Following it you either accept, and see Invitation Accepted with the name of the account you have joined, or decline, and see Invitation Declined. Invitation links do not last for ever: if the page says Invitation Expired, the link is no longer valid and you should ask for a new invitation. If you already have a Darwin Suite sign-in you use the same email and password; if not, you create your password as part of accepting. The alternative is to register yourself with Create your free account and, on the setup page, type your company's existing account name. Ignite then tells you that the account already exists and sends your request to its administrators, who see it under Pending Approvals in their Team panel and can accept or decline it. Until they act you have no access to the account's data, and when they accept you join as Reader, which lets you consult but not change anything; an Admin can then give you the Contributor or Admin role. If you belong to several accounts, you choose between them from Accounts in the user menu.

On the sign-in page choose Forgot password?, type the email address you sign in with and press Send reset link. For your protection Ignite does not say whether the address is registered: it only tells you that a reset link will be sent shortly if the address exists in the system. Open the email, follow the link to Reset your password, and enter your new password twice. It must have at least 8 characters and include at least one letter, one number and one special character. Once you see the confirmation, return to sign in with the new password. Remember that Darwin Suite uses a single sign-on, so the new password replaces the old one in every Darwin Suite system you use, not only in Ignite. If you have turned on two-step sign in, resetting the password does not switch it off: after the password you will still be asked for the six-digit code from your authenticator app. If the email does not arrive, check your spam or junk folder and make sure you used the address you registered with; reset links can expire, so request a new one rather than relying on an old email. Once you are signed in you can change your password at any time from Profile > Security, where it can be changed at most twice in 24 hours.

After signing in you land on the Dashboard, which on a new account has little to show until your portfolio is loaded and the overnight preparation of figures has run. On the left is the side menu. Its entries are set by the server according to your role and your plan, so colleagues may see different menus; typically they include Dashboard, Portfolio Management (Search Processes), Entity Management, Court Case, Watch Section, Publication List, Viabilities, Upload portfolio, the documents and reports list, Scrum Boards and Help Centre. The header on every screen carries the document workflow drawer for registering incoming documents, a global search, shortcuts, a full-screen switch and the quick chat, which holds Team Chat, System Notifications and the AI assistant ARIA. The user menu at the top right gives you Profile, Accounts, Systems, New Account, Settings, your status and Sign out. Good first steps are to complete Profile > Personal Account and choose your language, and to turn on Two-step sign in under Security. If you are an Admin, also review Company Account (date format, time format, currency, week start), invite your colleagues from Team, add the email accounts documents will be sent from, and set your AI keys in API Keys & Models. Then bring in your cases with Upload portfolio.

Both switchers are in the user menu at the top right of the screen. Accounts lists every account you belong to; choose one and everything you see from then on, including cases, entities, documents, the dashboard and the team, belongs to that account alone. One person can be a member of several accounts, for instance a firm's own account and a separate one for a group company, and can hold a different role in each. The account is taken from your signed-in session, never from the page address, so nobody can reach another account's data by editing a URL; if something you expected is missing, the first thing to check is which account is selected. Systems lists the Darwin Suite systems, such as Darwin Lightbox, Darwin GSE and Darwin Axiom. Thanks to single sign-on you move between them without signing in again, and the same account, team and profile follow you. If your account has no subscription for the system you choose, you are told that you will be enrolled as Reader and that the system's administrators will be informed, and asked to confirm; to have your status promoted you must request it. New Account, in the same menu, creates a further account, optionally with Import current account configurations, which you then select from Accounts.

It is designed for an individual or a very small practice: one simultaneous user, up to 1,000 processes, 10,000 documents or 1 GB of storage, the free upload of 100 processes from official institutes, watching and bulletin publications in one jurisdiction with simple alerts, five editable email templates, life cycles for trade marks and patents in all jurisdictions, AI-supported classification of incoming emails and a simple dashboard. Features that use artificial intelligence run on the provider, model and keys your account sets in Profile > API Keys & Models, so their use depends on that configuration. When you need more users, processes, jurisdictions or storage, an Admin can move to Core, Prime or Corporate at any time from Profile > Subscriptions, with monthly or yearly billing. A plan change takes effect the next time you sign in, and an increase is charged for the rest of the current month. Prices are shown in Subscriptions rather than here, because they change; for larger or tailored arrangements, talk to the Techframe sales team.
